Tech Tip - Completing Your Estate Plan

Complete your estate plan by generating cover pages, document covers and envelopes, binder cover inserts, and CD labels using the Cowles Create Document process. The process is easy with flexible options, giving your documents a professional, comprehensive look.

When the "Create Documents" option is selected in Phrase/Document Selection, the system will first merge your documents with the trust and phrase data, and will then automatically open the Create Documents window. Items that were selected in Phrase/Document Selection will be displayed here.

Several options are available to generate the documents:

  • Select the documents you wish to generate by clicking the "Selected" checkbox to the left of the document. If you wish to generate all of the documents listed, click "Select All". The option acts as a toggle between "Select All" and Deselect All".
  • The "Separate File" column allows for generation of documents in separate files in the word processor. Document Covers, Document Envelopes, the Binder Cover Insert, and the CD Label are automatically generated separately to allow for the use of different stock when printing. If you would like to generate other documents separately, check the appropriate box in this column. If you wish to generate all of the documents listed in a separate file, click "Separate All". The option acts as a toggle between "Separate All" and "Combine".

Professional Tools to Complete Your Plan

All documents listed below are selected within the Supporting Documents area of Phrase/Document Selection.

Cover Pages
Customized cover pages may be generated for placement into the Estate Organizer binder. Recordable title pages for various documents are included so legal descriptions may be inserted on the title page before recording to ensure that legal descriptions show up in the chain of title on real estate affected by the document (e.g. trust, certificate of trust, power of attorney).

Covers and Envelopes for Trust Documents
Covers and Envelopes will be prepared for each document selected on the checklist and customized with your law office information and your clients' name(s). Flat surface document covers and envelopes are available for purchase from West (since typical document covers and envelopes available on the market are textured, which creates flaking of laser printer ink).

Binder Cover Insert
The Binder Cover Insert is designed to be inserted into the sleeve on the front cover of the Estate Organizer Binder, allowing the binder to be personalized for each client. Print this insert on cardstock (or business card stock) and then cut to business card size before inserting.

CD Label
A personalized CD label may be generated for your client for use in providing electronic versions of selected client materials (such as the asset transfer letters/documents). Caution: you may want to limit this electronic delivery to letters/other supporting documents, or use read-only files to discourage client modifications to core documents.

Print this text on a CD label (such as Avery 5931 or 8931) to create a professional, finished look for your client's electronic documents. Place the CD label on a client-ready CD containing any electronic documents and insert the CD into the CD sleeve included with the Estate Organizer Binder. Insert the sleeve in the lower two binder rings on top of the complete estate plan cover sheet.

Estate Organizer Binders may be purchased from the Thomson/West website at http://www.west.thomson.com/cowles/supplies.aspx.
